1. Data Controller

2. What data we collect
When you request a discovery call, we collect: your name, phone number, company name (optional), and the topic you selected. We also store the consent you gave and its timestamp. We do not use advertising trackers. Basic, privacy-friendly visit analytics (Vercel Analytics) are collected without cookies and without identifying you.
3. AI assistant calls
The first call back may be made by an AI voice assistant (“Nova”) acting on our behalf. Nova introduces herself as an AI at the start of every call. The purpose of the call is to understand your request and schedule a discovery call — not marketing. Calls may be recorded and transcribed for quality and training purposes; you will be informed at the start of the call.
4. Legal basis & purpose
We process your data on the basis of your consent (Art. 6(1)(a) GDPR) to respond to your request and schedule a call. You can withdraw consent at any time by emailing sales [at] nxtassist.ai.
5. Processors
We use the following service providers to operate this workflow: Vercel (hosting, analytics), Cloudflare (DNS, bot protection), Retell AI (voice assistant; data transfer to the US under Standard Contractual Clauses), Notion (CRM), and a self-hosted n8n instance (workflow automation, EU). Data is shared with them only to the extent needed to handle your request.
6. Retention
Lead data is kept for up to 24 months from last contact, then deleted, unless we enter into a business relationship.
7. Your rights
You have the right to access, rectify, delete, restrict or object to the processing of your data, the right to data portability, and the right to lodge a complaint with a supervisory authority (in Poland: PUODO). To exercise any right, email sales [at] nxtassist.ai.
